This Privacy Policy explains how The Owl Cave Hotel ("the Hotel", "we", "us") collects, uses, and looks after personal information when you visit theowlcavehotel.com, send a message, subscribe to our notes, or book a stay.

We are a six-room boutique cave hotel at İsali - Gaferli - Avcılar, Aydın Kırağı Sk. no:24, 50180 Göreme/Nevşehir Merkez/Nevşehir. For privacy questions, write to cappadocia@theowlhotels.com or call or WhatsApp +90 541 606 1232.

1. Who is responsible

The Owl Cave Hotel is the controller of personal data collected through this website and for reservations we handle as the Hotel. Turkish Law No. 6698 on the Protection of Personal Data (KVKK) applies. If you are in the European Economic Area or the United Kingdom, we also treat your information in line with those data-protection rules to the extent they apply to a stay in Turkey.

2. What we collect

We collect only what we need to host you or answer you.

• Reservations: name, email, phone, stay dates, number of guests, room type, and any notes you add. The booking form opens WhatsApp with this information so we can reply on that number.
• Contact messages: name, email, and your message. The contact form opens WhatsApp with this information.
• Newsletter: email address, if you ask us to add it. The subscribe form opens WhatsApp with that address.
• Phone and WhatsApp: the number you use to write to us, and the content of that conversation, so we can confirm a booking or help with a stay.
• At the Hotel: identification that Turkish accommodation rules require at check-in, and payment details needed to settle the stay.
• Technical data: basic server logs such as IP address, browser type, and pages requested, which our host may keep to run and secure the site.

We do not ask for payment-card numbers on a public form on this website. A card may be requested to guarantee a room, as described in our Terms & Conditions.

We do not knowingly collect data from children under 16 through this site.

3. Why we use it

We use personal information to:

• receive and confirm reservation requests sent on WhatsApp;
• answer questions sent by form, email, phone, or WhatsApp;
• arrange breakfast, transfers, or experiences you asked us to book;
• send seasonal notes and offers if you subscribed;
• meet legal duties for tourist accommodation and accounts in Turkey;
• protect the Hotel, our guests, and the website from misuse.

We do not sell your information. We do not use it for advertising networks or profiling.

4. Legal bases

Depending on the case, we rely on:

• the contract for your stay, or steps you ask us to take before a booking;
• our legitimate interest in running a small hotel and a safe website;
• consent, for the newsletter — you can withdraw it at any time;
• legal obligations, including guest registration and tax records in Turkey.

5. Who we share it with

We share information only where it is needed to provide the stay or the site:

• WhatsApp (Meta Platforms), when a form on this site opens a message to our hotel number, or when you write to us there;
• the company that hosts this website, to deliver pages and keep the service online;
• payment or card-guarantee providers, if a card is used to secure or settle a booking;
• licensed tour, balloon, or transfer operators, and only the details needed to fulfil an experience you asked us to arrange;
• Google, when you load the map on our contact page — Google may process technical data under its own policy;
• public authorities, if Turkish law requires us to disclose guest or booking records.

Some of these providers may process data outside Turkey. Where we can, we use providers that protect the information with a contract or an equivalent safeguard.

6. Cookies and similar tools

This website does not use advertising cookies, analytics pixels, or social media tracking. The host may set a strictly necessary cookie or similar technical store so the site and booking flow work.

If you open the embedded map, Google may set its own cookies. You can block or delete cookies in your browser. Essential parts of the site will still work; the map may not.

7. How long we keep it

• Reservation and stay records are kept for as long as needed to host you and to meet Turkish accounting and accommodation rules, then deleted or archived so they are no longer used day to day.
• Contact messages are kept long enough to answer you and follow up, then removed unless they form part of a booking file.
• Newsletter addresses are kept until you unsubscribe or ask us to delete them.
• Server logs are kept only for a short period for security and repair.

8. How we protect it

Access to guest files is limited to people who need it to run the Hotel. Reservation requests from this website are sent to us on WhatsApp. No method of transmission or storage is perfectly secure. If we become aware of a breach that is likely to affect you, we will tell you and the competent authority as the law requires.

9. Your rights

You may ask us to confirm whether we hold information about you, to see it, to correct it, to delete it, to restrict how we use it, or to object to certain uses. Where processing is based on consent, you may withdraw that consent. Withdrawing consent does not affect a stay already confirmed, except where the information is still required by law.

To use these rights, email cappadocia@theowlhotels.com. We may need to check who you are before we reply. You may also complain to the Turkish Personal Data Protection Authority (Kişisel Verileri Koruma Kurumu). If you live in the EU or UK, you may also contact your local supervisory authority.

10. Newsletter

If you subscribe, we use your email only for seasonal stories and offers from the Hotel. We will not add you because you booked a room. You can unsubscribe by writing to cappadocia@theowlhotels.com. We will then stop sending marketing mail. We may still write about an existing reservation.

11. Links and other sites

This site may link to maps, WhatsApp, or a booking tool. Those services have their own privacy notices. We are not responsible for how they handle your data once you leave our pages.

12. Changes

We may update this Privacy Policy when our practices or the law change. The date at the top of the page is the current version. Material changes will appear here. If you have an upcoming stay, we will use the policy in force when we process that booking, unless the law requires otherwise.
